What is the ADA Asset Log?
Each partner has its own
ADA Asset Log in Smartsheet in the [DEPT] Instructional Technology workspace under the ADA Asset Logs folder. These logs are used to track all items, or assets, included in the courses that are not ADA compliant.
Why do we use the ADA Asset Log?
The ADA Asset Log allows us to quickly identify and remediate all non-compliant items should we receive notice that a student requires accommodations. Without the log, each item and component of the courses would have to be manually examined for non-compliant items, delaying remediation and student access. Additionally, you can refer to the ADA Asset Log to find any items that were entered due to lack of time or resources and remediate them for future semesters.
How do we fill out the ADA Asset Log?
Each asset, or set of assets, should be entered as its own row. Be sure to fill out each column. Some columns of note:
- The Resolved column is checked when a non-compliant asset has been remediated. See row 1 in the Partner Asset Log (Demo).
- The Digital Reference column should be a link to the asset stored in the Partner Course Materials Box folder.
- The Owner column designates whomever received the non-compliant asset from the partner.
- The Accessibility Note column should include a brief description of why the asset is not ADA compliant. When the accessibility issue is resolved, add a brief update.
When do we use the ADA Asset Log?
Record assets that you cannot remediate, that rely on other resources, or that you need more time or assistance to resolve the accessibility issue. These include the following:
- You are unable to remediate the item yourself and require the assistance of an SME, the ELD, or QA team, but there is no time to address it prior to students accessing the course.
- For example, the instructor has provided a complex table you need help remediating or an image that requires content expertise for the alt text or caption two days before semester start. See row 2 in the Partner Asset Log (Demo).
- The partner provided non-compliant publisher materials that we are not responsible for remediating.
- For example, the SME gave you publisher PowerPoint slides that are missing alt text. See row 3 in the Partner Asset Log (Demo).
- The partner provided non-compliant materials without adequate time to remediate.
- For example, the instructor sent new active learning guides as inaccessible Word documents the day before the course opens to students. See row 4 in the Partner Asset Log (Demo).
- You have an asset that requires the adapted materials from the student’s disabilities service office to fully utilize the asset.
- For example, a lab report that requires complex labeling and relies on adapted textbook or braille materials created by the disabilities service office as a reference. See row 5 in the Partner Asset Log (Demo).
- You have an asset that requires development of a media alternative from the SME or ELD team that is not ready at course launch.
- For example, an infographic that needs a text-based version as an alternative. See row 6 in the Partner Asset Log (Demo).
- If all items of one type are non-compliant in a course, you may enter those as one item.
- For example, if the SME included practice quizzes from the online textbook resources in every module, you may enter “Publisher practice quizzes” and note in all modules as one entry. See row 7 in the Partner Asset Log (Demo).
- If you have an asset that is inaccessible, but have created a media alternative, make a note that a media alternative exists for tracking purposes in case revisions are needed. This will ensure both assets are located and updated appropriately.
- For example, an infographic that has a text-based version as an alternative. See row 8 in the Partner Asset Log (Demo).
All ELS, ID, and ELD staff are trained in the basic features and requirements to make most of our course assets accessible. Everyone creating and receiving digital assets should check for accessibility issues and remediate as needed. If you need help, the following resources are available:
